Legal Assistant – Litigation

Kelly Santini LLP has an exciting opportunity for a Legal Assistant to join the Litigation group. The successful candidate will possess knowledge of civil litigation procedures, ability to manage competing deadlines and take a proactive approach.  Salary level is commensurate with experience and health benefits and pension matching are provided.

Duties & Responsibilities of the Role:

  • Maintain and organize client files, ensuring all documents are accurately recorded and easily accessible in the firm’s document management system
  • Perform accounting functions including docket review, production and review of pre-bills, final billing and AR collection
  • Managing of calendars, scheduling appointments and tracking deadlines, including timely reminders and follow-up
  • Assist with preparation, formatting, and filing of court documents in accordance with court rules and procedures
  • Liaise with internal team, courts, opposing counsel, and other third parties
  • Act as a point of contact for clients, providing updates, gathering necessary information, and ensuring client inquiries are handled professionally and promptly
  • General administrative tasks such as submitting expenses, filing, photocopying, scanning etc.
  • Other duties as required to support the efficient functioning of the legal team

Experience, Skills and Qualifications:

  • Law Clerk diploma from recognized post-secondary institution
    • 2+ years experience in litigation preferred
  • Knowledge of Ontario’s Rules of Civil Procedure
  • Strong attention to detail and commitment to accuracy in record-keeping and document organization
  • Exceptional organizational and time management skills, able to prioritize tasks effectively
  • Excellent interpersonal and communication skills; Comfortable interacting with clients and other internal and external professionals on a regular basis
  • Proficient with technology and software including Adobe Pro and Microsoft Office Suite of programs, with the ability to quickly learn and adapt to new systems
    • Experience with GhostPractice and NetDocuments an asset
