Administration & Operations Assistant

Kelly Santini is seeking an organized and motivated Administration & Operations Assistant to join our team. The successful candidate will assume a cross-functional role, performing a wide range of tasks, interacting with the public and with all departments in the firm. This role requires a well organized and versatile self-starter who is able to manage a diverse set of responsibilities, helping to keep daily operations running smoothly. Regular travel and work between offices will be required. Salary level is commensurate with experience, health benefits and pension matching are provided.

Specific Duties of the Role:

  • Primary reception support, providing daily reception coverage including greeting clients in person and over the phone, mail distribution, calendarization, and meeting management.
  • Coordinate and execute special projects as assigned, which may involve accounting, IT, compliance, and facilities management.
  • Trained on essential daily accounting functions including but not limited to reporting, processing cheque requests, posting payables, completing write offs and billing.
  • Support staff, lawyers, and clients with various tasks and inquiries.
  • Assist with the maintenance and upkeep of the office environment, keeping common spaces tidy and identifying maintenance concerns.
  • Identifies opportunities for improvements to internal processes, office organization, and workflow.
  • Cross trained on a variety of departmental responsibilities to provide support as requested.
  • Other duties as assigned.

Skills and Qualifications:

  • Proven track record of reliability and success in the workforce; degree or diploma in Office Administration, or similar subjects considered an asset.
  • Adept at mastering new IT platforms and excellent overall computer skills including MS Office Suite.
  • Willingness and ability to perform physical tasks include lifting boxes, distributing deliveries, assisting with office moves and office set up
  • Able to prioritize tasks, identify opportunities to assist and initiate solutions.
  • Adaptable to changing priorities and can handle multiple tasks simultaneously.
  • Exceptional attention to detail and organizational skills.
  • Excellent verbal and written communication skills; Able to build and manage relationships and work successfully as a member of a collaborative group.
