Legal Assistant – Corporate and Estate Planning

The Ottawa law office of Kelly Santini LLP is seeking a legal assistant with corporate and estate/succession planning experience. Specific Duties of the Role:

  • Draft and file articles of incorporation, amalgamation, and other related general corporate, commercial contract documentation
  • Organization of corporations and maintenance of corporate records, corporate registers, and minute books
  • Preparation and organization of corporate documentation for corporate re-organizations, merger and acquisition transaction files
  • Draft documentation to implement estate planning, estate freezes, including wills, codicils, powers of attorney, family trusts, and other related documents
  • Handle general administration of estates by preparing applications for certificates of appointment, documents for passing of executor accounts, and drafting related reports and correspondence
  • Supporting productivity of the practice through comprehensive legal administrative support including docketing, invoicing, scheduling appointments and calendarizing deadlines
  • Communicating effectively with clients, law offices and other staff
  • Generating monthly work-in-progress reports, preparing, sending, and following up on client accounts
  • Other duties as assigned

Skills and Qualifications:

  • Law Clerk diploma from recognized post-secondary institution
  • Minimum two years of work experience in law office in above referenced practice areas
  • Confidence in knowledge of corporate law transactions, estate administration and relevant legal procedures
  • Takes initiative, able to prepare documents and correspondence with some supervision
  • Exceptional organizational and time management skills, able to prioritize tasks effectively
  • Excellent interpersonal and communication skills; Comfortable interacting with clients and other internal and external professionals on a regular basis
  • Working knowledge of Ghost Practice, NetDocuments, Adobe Pro, Estate-A-Base, Fast Company, Ghost Practice, DocuSign, OnCorp, eCore, Unity and Teraview will be considered an asset
  • Proficiency in Microsoft Office 365 (including Word, Excel, Outlook)
